The layers of a working email configuration
A business email environment has four layers that must be configured together. The mailbox layer holds accounts, aliases and quotas on the chosen platform. The DNS layer tells the world where your mail goes and who may send it. The protocol layer — IMAP, POP, SMTP and Exchange ActiveSync or MAPI — governs how clients connect. The client layer is what your staff sees on each device.
Most email problems are boundary problems between these layers. A mailbox can be perfectly configured while SPF is missing, causing recipients to reject its messages. Or DNS can be correct while a single phone uses legacy SMTP settings and fails to send. We configure the environment as a system, not as isolated settings.
DNS records that control email
MX records direct inbound mail to your provider's servers; their hostnames and priorities must match the provider's published values exactly. SPF is a TXT record listing which servers may send mail for your domain, and it fails silently when it exceeds ten DNS lookups or ends in the wrong qualifier.
DKIM adds a cryptographic signature to outbound messages using a public key published in DNS, letting receivers verify the message was not altered. DMARC ties SPF and DKIM together with a policy — monitor, quarantine or reject — and optionally sends reports showing who is sending mail claiming to be your domain. We configure all three and verify alignment before enforcement.
Client and device configuration
Modern email clients connect using IMAP or provider-specific protocols for incoming mail and authenticated SMTP for sending. Correct configuration covers server names, ports, encryption methods and authentication type — details that differ between providers and change when providers deprecate legacy options.
