Service Overview

What this service covers

When business email stops working, the cause can sit anywhere in the chain: the mailbox platform, the domain's DNS records, authentication policies, the email client on each device, or the account itself. Diagnosing these problems requires checking each layer methodically rather than guessing at settings.

Infinity Techiez provides independent email diagnostics and issue resolution for businesses. We locate where delivery, connectivity or configuration is breaking down, correct what is within scope, and tell you clearly when a problem is controlled by your provider and must be handled through their official process. We work with your existing email platform as an independent service provider — not on behalf of any vendor.

What We Cover

What we help with

Practical assistance for the areas that matter most to your business.

Email not sending

Diagnose outbound delivery failures — SMTP authentication errors, wrong ports, blocked sending, full mailboxes or messages stuck in outboxes and queues.

Email not receiving

Trace inbound delivery through MX records, forwarding rules, spam filters, mailbox quotas and server-side rules to find where messages are being lost.

Email not working at all

Methodical diagnostics when email fails completely — sign-in issues, expired configurations, suspended mailboxes or provider-side outages and account changes.

Email not configuring

Correct failed account setups — invalid server settings, authentication mismatches, legacy protocol deprecation and incorrect port or encryption choices.

Email not working in Outlook

Resolve Outlook profile corruption, cached credential loops, send/receive errors, add-in conflicts and incorrect account settings after provider changes.

Email not working in other clients

Diagnose connectivity in Apple Mail, Thunderbird, webmail and mobile apps — including IMAP/POP setting mismatches and sync failures across devices.

Spam and unwanted email removal

Clean accumulated junk mail, create filtering rules that keep it out, and review blocklists and allowlists so legitimate business mail is not caught.

Bulk email deletion

Remove large volumes of old or unwanted messages safely, free up mailbox storage and archive what must be kept — without losing anything important.

Simple, Transparent Pricing

from$49.99

Most one-time fixes and setups start at $49.99. Larger projects like multi-mailbox migrations, DNS overhauls and ongoing administration are quoted per job — you always know the cost before we begin, with no hidden fees.

Common Requests

Everyday email tasks we handle

The most common email jobs businesses ask us about — from provider migrations to fixing delivery problems.

Email migration between providers

Move mailboxes between providers — for example from ISP-hosted email to a dedicated business platform — keeping messages, folders and contacts intact.

Bulk email deletion & cleanup

Remove large volumes of old or unwanted messages safely, free up mailbox storage and organize folders without losing anything important.

IMAP / POP server setup

Configure IMAP or POP incoming mail settings correctly so email syncs reliably across webmail, desktop and mobile.

Email client setup

Set up Outlook, Apple Mail, Thunderbird, mobile mail apps and webmail with the right server, port and security options.

Email not receiving

Diagnose why messages are not arriving — DNS or MX record problems, full mailboxes, filters, blocked senders or server-side issues.

Email not sending

Resolve outgoing mail failures — SMTP settings, authentication errors, port blocks, sending limits and reputation problems.

Domain MX record setup

Create or correct MX, SPF, DKIM and DMARC records so mail for your domain routes to the right servers and passes authentication checks.

Email forwarding setup

Configure forwarding, aliases and catch-all addresses so messages reach the right mailbox — and review forwarding before migrations.

Outcomes

Key benefits

What you can expect from this service.

Faster diagnosis because every layer is checked in the right order
Outbound and inbound mail tested and verified, not just adjusted
Clients on desktop and mobile configured to a documented standard
Clear answers on which problems are provider-side versus yours
Documented fixes so the same issue is resolved faster next time
Storage reclaimed and mailboxes cleaned without data loss

How we diagnose email problems

Effective email diagnostics follow the path a message takes. For sending problems we check the client's SMTP settings and authentication, then the account's sending permissions, then server-side queues and reputation. For receiving problems we check the domain's MX records and expiry, then forwarding and server-side rules, then filters and mailbox storage, and finally the client itself.

This order matters because most email failures are boundary problems: the account is fine but the DNS changed, the server is fine but the client holds stale credentials, or the client is fine but a spam filter quietly drops messages. Checking layers in the wrong order wastes time and leaves the real cause untouched.

Email client and device issues

Outlook, Apple Mail, Thunderbird and mobile mail apps each store account settings differently, and each fails in characteristic ways. Outlook profiles corrupt and cached credentials loop; Apple Mail breaks when providers change OAuth flows; mobile apps fail when legacy password authentication is disabled.

When a provider tightens security — deprecating basic authentication, requiring app-specific passwords or changing server hostnames — previously working clients fail together. We update client settings to the provider's current requirements and document them so your environment stays consistent.

When the problem is on the provider's side

Some email problems can only be resolved by the mailbox provider: suspended accounts, sign-in verification, provider outages, blacklisted sending addresses controlled by their platform, and provider-initiated platform migrations.

In those cases we identify the exact issue, tell you precisely what to ask the provider for, and handle everything on our side — reconfiguring clients, updating DNS records, updating authentication — once the provider completes their part.

Spam removal and mailbox cleanup

Mailbox cleanup is a storage and hygiene exercise as much as a comfort one. We remove spam, expired notifications and years of accumulated clutter in bulk, configure filters so junk stops arriving, and protect folders and messages flagged as important before any deletion happens.

For mailboxes nearing storage limits we combine bulk deletion with archiving — moving older mail to archive storage or local archives — so the active mailbox stays within quota while history remains accessible.

Typical Situations

Common business scenarios

Situations where this service is most useful.

Email stopped sending

Outbound mail is stuck or rejected — often after a provider password change, a disabled legacy authentication method or a blacklisted IP.

Email stopped arriving

Inbound mail goes missing — a changed MX record, an expired domain, a full mailbox or an over-aggressive spam rule is usually responsible.

Outlook keeps asking for credentials

Outlook prompts repeatedly after a provider security change — modern authentication requirements, stale profiles or server setting updates are the usual causes.

New devices will not configure

Account setup fails on phones or desktops because the provider now requires app passwords, OAuth sign-in or updated server addresses.

Mailbox full of junk and old mail

Years of spam and outdated messages have filled the mailbox, storage warnings are appearing and important mail needs protecting during cleanup.

Works on one device, not another

Mail syncs on a laptop but not a phone — typically an IMAP versus POP mismatch, a missing account on one device or divergent settings.

Technical

Technical considerations

Details that affect reliability, timing and deliverability.

Authentication requirements

Providers increasingly require modern authentication; legacy basic-auth clients fail silently or loop on credential prompts.

DNS dependencies

MX, SPF, DKIM and DMARC records all affect delivery — a single expired domain or edited record can stop inbound mail entirely.

Client-side caches

Outlook profiles, cached credentials and mobile app states can hold stale settings long after the server-side problem is fixed.

Provider changes

Server hostnames, port requirements and security policies change without notice; working configurations can break overnight.

Storage limits

Full mailboxes silently reject inbound mail; bulk cleanup and archiving restore capacity but must protect retained messages.

Filter and rule side-effects

Server-side rules and filters can drop, forward or file mail in ways that look like delivery failure.

Security

Security considerations

Measures that help protect accounts, data and domain reputation.

Credential handling

Access to mailboxes during diagnostics uses the least privilege needed; credentials shared with us should be rotated after the engagement.

Phishing look-alikes

Failed sign-ins are sometimes caused by security blocks after suspicious activity — we check before treating them as configuration faults.

Forwarding audits

Unexpected missing mail can indicate unauthorized forwarding rules; we audit rules and delegates during diagnostics.

Data protection during cleanup

Bulk deletion is preceded by identifying what must be retained or archived so nothing business-critical is removed.

Our Process

How we work

A clear, transparent approach from initial review to handover.

01

Scope

Define exactly what is failing — sending, receiving, configuring or specific devices — and on which accounts and clients.

02

Diagnose

Check each layer in order: client settings, account state, DNS records, authentication and provider-side status.

03

Resolve

Correct the settings, records or configurations identified as the cause, layer by layer.

04

Refer

Where the cause is provider-controlled, document the issue and guide you through the provider's official process.

05

Verify

Send and receive test mail on every affected device and confirm sync, filters and delivery.

06

Document

Record the corrected settings and the root cause so the environment stays maintainable.
